TOPQuote provides a centralized analytics, dashboard, and AI-enriched reporting platform for fire protection companies. This Privacy Policy explains what information we collect on this marketing site, what information we process on behalf of customers running the TOPQuote platform, and how we protect both.

Customer data — quotes, Summary sheet payloads, normalized analytics — lives in a single-tenant deployment dedicated to that customer. Marketing site data (form submissions, analytics) is processed by TOPQuote, LLC under the terms described below.

Information We Collect

Marketing site (this website)

• Contact details you provide when you request a discovery call, including name, company, role, and email address.
• Usage data from standard web analytics — pages viewed, referrer, approximate location derived from IP, device and browser information.
• Cookies and similar technologies used to remember preferences, measure site performance, and prevent abuse. You can disable cookies in your browser; the site will continue to function.

The TOPQuote platform (single-tenant deployments)

• Quote submissions captured by the Excel add-in, including the Summary sheet payload, the workbook fingerprint, and the submitting estimator's identity.
• Authentication and audit data — sign-in events, API access logs, and changes to normalization rules.
• Operational telemetry needed to keep the deployment healthy. This is anonymized where possible and never shared with other customers.

How We Use Information

• To respond to discovery-call requests and other inbound inquiries.
• To deliver, maintain, secure, and improve the TOPQuote platform for customers.
• To meet our legal, contractual, and security obligations.
• To detect and prevent fraud, abuse, and unauthorized access.

We do not sell personal information. We do not use customer quote data to train models that benefit other customers. AI features that operate on a customer's own data run inside that customer's tenant.

Data Protection & Security

• Single-tenant isolation. Each customer's quote data is deployed in its own tenant — separate database, separate compute, separate storage.
• Encryption. All data is encrypted at rest and in transit using industry-standard algorithms.
• Audit logging. Every API surface and administrative action is logged and retained per the customer's contract.
• Access control. Production access follows least-privilege principles and is reviewed regularly.

Sharing & Disclosure

We do not share customer information with third parties except in these limited cases:

• Service providers who help us operate the platform (e.g., cloud infrastructure, transactional email). These providers are bound by contract to use data only for the services they provide.
• Legal obligations — when required to comply with applicable law, regulation, legal process, or enforceable governmental request.
• With your consent — when you direct us to share information with a third party.

Data Retention

Marketing site contact submissions are retained as long as needed to respond to your inquiry and for a reasonable period thereafter for audit and follow-up. Customer platform data is retained per the terms of the customer's master service agreement.

Your Rights

Depending on where you reside, you may have rights to access, correct, export, or delete personal information we hold about you. To exercise those rights, please contact us using the information below. We will respond within the time period required by applicable law.

Children

TOPQuote is a B2B product. Our services are not directed at children under 16, and we do not knowingly collect personal information from children.
